Major Update(s): Talked with Scott today!
Okay guys, I have a big little update to the Winnipeg Game Day - I got ahold of Scott himself and we chatted a bit. He's done stuff like this before and has given me some good insights. Devilbat and I have also been conversing in emails about what we want to occur, so given that, here are some preliminary plans I've worked out with Scott himself. Also, Scott has a WotC delegate who can run demostrations of dreamblade, Dungeons and Dragons Minis, and Magic: The Gathering.
Morning Block
We are going to run a morning block beggining at 10:00. This is going to run for 3 hours and will consist of one of the following activities:
- This first type of session will divide the block into two sections. They will both run for an hour and a half apeice and will consist of demostrations of indie/alternative games. For example, Artellan's offer of running a Burning Empires game might be a good match for one of these sub-blocks. The WotC delegate will likely be running two different demos in each respective sub-block.
- The second type will last for the whole morning block and will run for 3 hours. For example, Devilbat's offer of running a Dungeon Crawl Classic would fit well for the entire block. This is more of a "full" game, and has the possibility of running into the afternoon if you need ~ 5 or 6 hours to complete it.
Lunch Break
After the 10:00 am to 1:00 pm block is done, there will a lunch break from 1:00 pm to 2:00 pm. Scott deals with a local pizza joint and can get us a deal if we buy in bulk. This would require ~5 bucks on your behalf, and would net you a can of pop, a couple slices of pizza and a bag of chips or somesuch (exact details will be worked out). If you want another slice, likely you'll be able to buy one for about a $1.50 more. Note that it isn't required, but it would likely be cheaper than going out and getting your own lunch. Personally, I am all for this
Afternoon Block
The afternoon block will run from 2:00 pm to 5:00 pm. If there are any more people wishing to run smaller/short-lenght demos (as in the morning's first option of a smaller hour and a half block) then you may do so, otherwise this will consist of mostly D&D games.
Note:
If there is a big enough turnout, want for more game-time or an inability to fit everyone who wishes to come and game in the morning or afternoon blocks, Scott has offered to continue into the evening with another, third, block of gaming. If this is so, the evening will consist of the following:
Optional Supper Break
Again, if there is a big enough turnout or want for more gaming, and/or we can't fit enough people into the morning or afternoon sessions, then we will continue into the evening. If so, there will be a supper break from 5:00 pm to 6:00 pm. This will not be an organised meal break such as lunch, and will require you to get your own (there is an A&W, Subway et al down the street however).
Optional Evening Block
Now, as I said before, if there is a big enough turnout or want for more gaming and/or we can't fit enough people into the morning or afternoon blocks, then we will have another 3-hour block from 6:00 pm to 9:00 pm. This will resemble the afternoon block in that there will be indie game or alternative game demos if there is time still availiable or want to run then, as well as pure D&D gaming. This will depend on whether there are enough people participating, of course.

So, in about a half-hour conversation, we managed to cover a lot of bases, and I think there's a pretty good outline of what's going to happen in the gameday. Now, some more important details:

The Benefits:
Scott is considering having a discount on gaming books and/or materials in his store
just for us!. An exact figure hasn't been worked out yet, but it's an option which could very well come to pass.
Also, as has been highlighted by
MavrickWeirdo and others, we are looking to get some prizes from some publishers on EN World. I'm not sure how they will be worked out, but they are an option Devilbat and I are looking at getting incorperated in the gameday
Other than those two specific ones, having an entire day of gaming is definitly a big plus, and meeting everyone from EN World is another part of it.

The Damages:
Scott is also going to be asking for a small fee from all participants which will cover all the small costs associated with running a Game Day. Considering he'll have something in the neighborhood of 40 people in his basement, I think that's only fair. It'll cover the costs of garbage bags, character sheets, paper plates, napkins, cups, toilet paper, etc. It'll merely be a token amount (he mentioned a figure in the neighborhood of 2-5 bucks) and I think is more than fair considering we're using his space, his tables, his chairs, and everything else.
This fee will be one-time only, and will cover the whole day. If you plan to come for the whole day, then you are definitly getting your money's worth. If you are just going to come for 1 session, then that's something you'll have to consider as well.
This fee is
seperate from the ~5 dollar lunch fee for the pizza.
If you plan to some for the day and get lunch, you are looking at 7-10 dollars (plus supper) approximately for something like 11 hours of gaming (if we go the entire day from 10 am to 9 pm), which is pretty good mileage considering that's entrance/small costs
and lunch.
