planning/hosting a gameday - how much lead time?

So I'm strongly considering hosting a game day/weekend/KahunaCon '04 sometime this summer. I live in Attleboro, MA which is right next to rhode island but attached by commuter rail to boston.

the question at this point is, how much lead time is usually given to agree on an exact day/weekend and give folks time to make plans? I don't want to spring the idea at what might be considered the last minute, or give so much lead time that everyone forgets about it and considers the reminder to be last minute notice :confused: . (can you tell my hosting history has had issues? ;) ) And secondarily, would anyone here be interested in coming, assuming timing was not an issue?

I'd say your lead time probably depends a lot on how many people you're talking about being involved. I've now helped put together 4 NC Game Days and I've found that for the number of participants we have (around 40-50 if you don't include the board games and computer games) three months is too long and two months is about right.

For a smaller event (especially if you're hosting it at your house), I think you could get things organized in much less time than that.

I've helped to put together 2 Gamedays (in Tampa), but take this advice with a grain of salt. First, put out on all-call to see who would be willing to show up. After that, brainstorm with those that want to come on some acceptable dates. Then, post on ENWorld and other sites. Hopefully, it works out.
