For a while I was using index cards for magic items and the occasional special item. I'd just use google, clipart, etc. for the picture on the card. Each player would have an envelope, and I'd have one for each player.

The player would get a copy of the card with a picture of the item, and perhaps some information they know. I'd get a copy with all the relevant information on the magic item, charges, secret abilities, etc. and could grab the envelope when I needed the information.

A friend of mine was playing in a long-running D&D campaign, that had a lot of dropping in & out over the span since a large number of the players were college students. He had written down a magic-item as a "Mike 'n Ike ring" because it fit some mnemonic that made sense at the time. Months later he saw his note and decided to explore it. The DM had no idea what the item was, and the player had no idea what the note meant.

I would just make them as they are needed. Make them with the equipment the characters actually have (and can find, if you prepare treasure ahead of time, which would work well here) and enough blanks to cover any in-game purchases.
