Some answers before this becomes an unnecessary panic. All coordination for this event is happening through Craig Roberts at the Woodbridge Store. He is responsible for ordering in their system and he has already ordered the material for the event, for both stores.
I have provided him with an EVENT COORDINATION SHEET for each store. This takes a couple of days to filter through their system. Please give this a couple of days. I'm getting in contact with him again on Monday and I'm providing the stores with the preprinted signup sheets for each store. These sheets will already have your placeholder information on them for those that have signed up through the ENWorld site or by e-mail.
I'm the event coordinator for both locations. On the day of the event, I will be onsite at the Woodbridge store and I already have a designated Onsite Coordinator for the Chantilly store. The onsite coordinator will be in charge of rounding up the DMs for each game table and balancing the table load, if we don't have enough people at each table to play.
Our plan is to host two game sessions during the day (10:30AM - 3:30PM and 4:30PM - 9:30PM) At this time and based on the information we have, there is only ONE new adventure being published for this day, Into the Shadowhaunt. Because there might be some people that want to stay and play a second game that day we will also offer Escape from Sembia and Scalegloom Hall. Unless for some reason the RPGA publishes a different set of adventures for use before the event at which time we will decide if we have time to add those adventures or switch the old DDXP ones for the new ones.
This is an RPGA event and unlike previous years, I will make sure that it gets reported for reward points. If the adventure Into the Shadowhaunt is not in the RPGA system at that time we will still report for reward points.
What to bring: A good attitude, and a desire to have fun. For those that are already RPGA members also bring your RPGA card number. If someone does not have a card or has lost theirs, we will have RPGA cards available at each location.

Your personal information will not be disclosed publicly on any site but will be printed on the signup sheet for the store you select. I will use the e-mail to send out a reminder of this event at two weeks from the event and the weekend before. If you are going to be a judge I will also contact all of you separately to coordinate other details.
Please be patient with the stores as getting stuff coordinated with them is like turning a ship, it doesn't happen fast or easily.
I'm keeping track of this and my goal is to make this the most attended Gameday either store has ever had.
