Maybe we could rotate? I think the issue was that hosting every night meant that they didn't really get any sleep during the con. I'd suggest a public place, but is there anywhere that won't be incredibly crowded by the rest of the con throng? Or should we try to make reservations now? I know that the Old Spaghetti Factory has private rooms.

That being said, public spaces are also more expensive.

Another potential issue that I thought about was neighboring rooms. If we rotate, we may inadvertantly get someone in trouble with hotel management (due to neighbors complaining - I would hope that this wouldn't be an issue).

Anyway, I noticed that there are often big empty spaces at the convention center. I don't know if squatting in one of these empty spaces would work. Unfortunately, this doesn't allow everyone to drink and such.

Would it be bad form to grab an unused conference room in a hotel (especially one that has no seminars scheduled)? Is this something that a hotel would be willing to allow?

How much would a private room be (such as at the Old Spaghetti Factory) and who would front the bill? A "cover charge" to enter (like a buck or so) may offset the cost.

So, I would rank the alternatives as follows:

1. Rotating hosts
2. Hotel Conference room
3. Private room
4. Random "open space" in the convention center
5. The Mall Foodcourt
6. Out in the open in a tavern/restaurant (could get ugly)
7. other

That being said, we rented a conference room for a party for our wedding. It was over $1000. I don't think a hotel is going to give us that for free.

I've been doing a lot of conference planning lately, and the hotel will absolutely not allow this. First of all, most conference rooms in hotels are locked when not in use. Second of all, a hotel would get pretty angry if they find out someone is using the space without a signed contract (especially if there are damages).

Most conference rooms in hotels rent for between $500 and $1,000 a day, but it may be more because of Gen Con.

Sorry, I have no suggestions to help.

P.S. I think the "League of Extraordinary Gentlemen" is a most-excellent name for your group!

Well, with a large group of roleplayers, shouldn't there be at least one Rogue (and maybe a Bard to sooth the angry hotel manager)? :D

As someone who has had to deal with hotels in the past in a professional capacity - usually it is not looked upon kindly. However, if the con as a whole is hosting the event - (ie one of the housing hotels) they may allow it in order to ensure repeat business under the GenCon, LLC banner. Do not know who to contact in that area, but if someone does know how, that may be the best avenue.

Oh and count me in - the LGX sounds much safer and probably better for keeping the marriage together. :)

I suppose we could just gather around the Ennies booth. I know that the hallways in the convention center don't close for the entire length of the con. It lacks comfort (or seating), but everyone will know where it is.
 

I'd like to suggest that this matter be taken up with the ENnies board, of which I think I'm a member. I would like us to see if there are any party rooms booked in any of the key hotels by GenCon that are not in use every night. Obviously, if we can make use of a hotel party room for little or no money, this would be preferable to either gathering in an individual's room or in a restaurant.

EDIT: I totally agree that we should not attempt to seize an unused room without permission but this does not mean that there are not underutilized booked facilities.
