Our Space At Gencon (was: ENNIES 2004 Ceremony Planning Thread)

Michael Morris

First Post
I've begun design work on the booth for ENWorld at Gencon Indy 2004. Awaiting comments. The design is on page 2 of the thread.

This thread is being created for the public section of the planning of the 2004 Ennies award ceremony, which is within my purview. The voting and nomination process is not a part of the ceremony itself and is under Russ' direction and control (bug him about it). I'll be linking this thread from my sig file so that it doesn't fade off the radar. While the show was a great improvement from #1, there's a lot of work to go to get the show where I want it in terms of presentation (I'm a perfectionist, shoot me). Some private decisions will still be made, but this thread is a place for concerns to be aired regarding them.

I think all these have been said before, but I'd just like to post them in this thread.

--Limit specches to only the poeple who win the Gold

--Ushers to make sure the publishers are there in the first few rows. It wasn't a huge problem but I think it could help keep things running smoothe.

--Better Advertising of the event. I know this isn't as easy since you don't control this aspect, but I'df like to set it out there.

--Possible a place at a boothe that lists the nominations and then it can also list the winners once they are announced.

How does one contact Russ? I'm somewhat of an expert in voting systems and would be glad to contribute my technical expertise.

As for the ceremony, I only know about previous ceremonies second hand so I'm not sure what I can offer on that front.

It depends on how many awards there are. If the number doesn't change by more than two I'm open to letting them all speak. I will however be putting a clock up at the back of the room to let them know how long they've been speaking and ask that they keep it under 2 mins / person.

Invitation cards will have to be a part of this, and I'll need a house manager to see to it - I was overloaded at the shows start as is.

Actually, that is within my purview (I believe) and is on topic here. Among other things that will be done

  • * There will be an ENWorld / Ennies booth - though what it will look like will be determined by space and Peter's generousity - much of the space will be to display the award nominees in any event. I have ideas on the layout, but for now hush - hush.

    * Stickers for nominees, and award winners, to be given out to the publishers at the appropriate times for the show.

    * The Ennies will have a page in next year's Gencon program and pre-reg guides as far as I know.

Now, as to the medal appearances, here they are again.. I removed the LLC part as requested and they are now the size they will appear on most books (depending on your screen res)

When the awardee is announced, the MC should see the person walking forward and say "Accepting the award for company name is ...." Even if the company wins 10 times in a row, each and every time the names should be stated. Why? Because people can walk into the award ceremony at any time. They may not have heard the person's name 10 times in a row. This may be their first time seeing whoever it is.

Granted, sometimes the announcer doesn't know who is coming forward. For this you start the sentence and let the awardee fill in his own name.

Can you tell I arrived at the ENnies late this year?

We don't know ahead of time who the company is going to have accept the award, and having them tell us would break up the informal feel of the ceremony.

Ahem..

On the issue of Ushering.... I tried my best leading all the nominees to the first 3 rows. However I feel as If i was the ONLY one doing it.

Jason/Hound was in the middle front meeting nominees and was basically stationary. We had 2 guys at the doors and I'm not quite sure what they were doing. So I was running back and forth between the aisles asking who was a nominee and who wasnt and directing them to their seets. :-( I was the only one doing that And for the most part it turned out ok. Had 2 or 3 people done it, it would have been perfect.

Anyway.

The Ushering next year can be very simple. We already know the layout of the room and how many seets we have to work with. We just assign seating before hand as if it was a restaruant. We need about 6 volunteers for this next part.

2 people per door. One door for Staff/nominees, one for guests and just anyone who wants to watch. We divert the Nominees to the second door where 2 (or 3 max) get their cards and told which seat up front to take. Then we need 1 or 2 ushers per aisle. They will take the nominees to their actual seat. And try to group other people where they would like further back. I'd also thing that Staff/Volunteers/Ushers should get the 4th row or the sides up front. Doing the work they should get seats too.
And lastly. Someone should be doing some sort of announcments or direction using the stage mic. If anything counting down to the show every 10 min.

Ok. Next up. It's been said by more then one person that they didnt like how everyone broke up and got lost after the ennies.
I personally didnt like that everyone went to bars, that exluded me and made me feel like crap. I have a right to hang out with my associates after the cermony and going to bars exludes anyone under 21. Though next year this will not apply to me, it will to others and I do NOT want them exluded as I was.
How do we solve this? Simple. We can add a reception to the Ennies. A catered Reception.

The back of the Ballroom we were in clearly had more then enough room for a few tables where we could have soda, a buffet, or whatever else. Instead of just getting together, bam wam, thanks ma'am, and leaving, people have incentive to stay and talk and socialize and it becomes a much more intimate event.

Either a 'for party type reception or an after party works. During the Ennies the food would be brought in an set up by caterers. When the Ceremony Ends we all "smooz" around and eat.

We can also do a buffet before the Ennies for the hour where we have the slide show. Technically we can do both. During the Slideshow we'de have soda and snacks like chips and dips and soda's on the tables. Then after switch to a Hotfood buffet and/or Heroes.

Another option is taking everyone and going to a single restaruant after the Ennies. Have an actual Private ENWorld Party at one of the huge restaruants next to the con. (I would suggest O'rourks but even in a private party the place is closed to anyone under 21 :( and its too far from the convention center to be realistic.)

I'd be more then happy to help with this. Either finding a caterer or talking to one of the local restaruants to set up a party afterwords.

And finally, last but not least, and prolly the most rediculous part of this. If at all possible I'd appreciate being able to present an Award. Yea i'm a nobody right now with not that many credits to my name. But I'd appreciate it non the less. Not all presenters need be someone special.

I hope i'm not forgetting anything.

I would like to see stickers and small posters made for the winners. That way, they could slap gold or silver medal stickers on their products for Saturday and put the posters up in their booths.

It's not much, but it is something to reward the winners.

I think having Russ present most of the awards is the best idea; it speeds the ceremony along, and I don't think this event should become lengthy. That's also why I think that only the gold winners should give speeches.

And, most importantly, when are we going to get a mud wrestling match between Eric Noah and Russ?

Not if they did so before the ceremony. My friend who does not hang out on these boards walked out of the ceremony after ten minutes. His complaint was that everything going on seemed like an inside joke he wasn't in on. The informality of the presentation was off-putting. If the ENnies are supposed to be a serious award, they should be treated seriously at the award ceremony. Have a place where all the nominees can meet you (like at the EN Pub booth) on Thursday or Friday and have them give a list of names of attendees for the ceremony and who will go up for which award. This is not that hard. Disignate someone to put these names on notecards to be given to the award presenter at the ceremony (and to whom the publisher can go to if a change is necessary).

Also, only one person should make a speech, either the writer/designer/artist or the publisher but not both or even more speakers. I also don't see the sliver award winner making a speech but since you actually give the award I don't see the point in pushing this point.

I like the reception idea. My wife had no desire to visit a bar that night so we just slipped out at the end.
