What's In Your GM Folder?

First post here, but I'm a long time lurker who decided to finally succumb and try to chat with you all. Hey, for all the hours you've helped me waste at work, it's the least I can do! :lol:

Whenever I run a game, I tend to have a folder of stuff by my side. I did try using a laptop for a bit in my current game which took up some of that slack, and if I could perhaps get my laptop hooked up to my broadband connection in a wire-free way I may start this again, but it took up a lot of precious table-space and wasn't necesarilly a huge benefit.

Anyway, I'm just curious as to what else you GMs keep in one handy pile of doom for your campaigns. What do you need to hand, for when those pesky players start foolishly thinking for themselves and forcing you to improvise?

My current game is a D&D 3.X campaign which is coming up for a year and a half. (I'm intending on putting it on hiatus after Chrsitmas to let my players try running games, though: we've quite a few beginners who have played nothing apart from this and a singe Cthulhu one-off we ran one week due to absences.) My folder contains:

  • A copy of my game world's calendar, marked as the game progresses so I can keep track of how long it's been since X adventure/encounter happened
  • A computer-drawn copy of my campaign world map, along with a few sheets detailing the alignment, size and any important figures in the various towns.
  • Sheets and sheets of random names, potion descriptions etc, mainly from Seventh Sanctum's generators which I mark as used.
  • Some appropriate encounters and treasures for the party, in case I need to quickly invent a random encounter. They're 7 ECL 8 characters, so I include a few from EL 6 to 11 to cover all occasions.
  • Mosnters. Lots of monsters. Be it personally created creatures (I'm very fond of templates) or thigns from online e-books, the previews commonly found on places like WoTC's site or creations from people on this very forum, my own personal monster manual takes up most of the folder.
  • A few miscellaneous rules articles found online. As an example, the Legendary Captain class was given as a preview for Stormwrack, and it's there becuase one PC has his eye on it. Similarly I just liked th elook of the Archivist from the Heroes Of Horror preview, so I bunged it in as well.
  • Some miscellaneous flavour & more meta articles. For example, a Wikipedia list of both Greyhawk and Egyptian deities (my campaign world's humans primarilly worship the Egyptian pantheon) as well as a guide on how to use old coffee and an oven to make prop wrinkled parchments. ;-)
  • A few now defunct copies of my PCs character sheets. I tried to convert them into electronic format so knowing what order they took some skills in helped, plus my girlfirend drew some cute drawings of Yoshi on hers. ;)

There's also usually some notes from the last couple of adventures, so that when players finally get an item identified I can remember what it is.

On a related note, I keep all my old adventure notes in a pile somewhere else, for more long-term looking back. This same pile has a "emergency adventure" section which contains several maps of dungeons, clearings, islands etc for when I might need to pull something out on the fly, along with a couple of populated dungeons and entire adventures from online (WotC's online adventures), though a couple of these have since dropped out of an acceptable level range that they wouldn't be much use "in a pinch."

Anyway, I'm having to juggle all my paper and books in order to fit my DM's Cupboard, so I'm curious as to how much you guys keep to hand, or if you avoid dead tree at the game table. :p

When I GM, I keep all the maps I've drawn for my homebrew setting + dungeon (if there's one in use during the session) handy, I have a copy of the rules (AE+PHB+DMG) within reach, dice of course, some sample NPC sheets downloaded on diamondthrone.com showing Arcana Unearthed characters of all classes from level 1 to 20. I also have a few modules I like near me, just if I need to come up with an encounter on the fly (lately I've been using the Banewarrens that way). I have also monster books around Tome of Horrors I and II, Monster Manual II, Libris Mortis, Legacy of the Dragons, etc. You name it. I also keep my boxes of D&D minis nearby, just in case. And of course, last but not least, my campaign notebook, full of notes, NPC stats, maps and various scriblings written during or out of the game.

That's all I can think of right now. :)
 

i pile a bunch of junk behind the screen so the players think i've got something prepared. and i wing the rest.


actually, i have several 3 ring binders full of possibilities. 25+ years of notes at hand just in case.

Why, thank you. Like I said, I've lurked a good while (eventually getting an account but never, until now, being bothered to post ;-) ) and my D&D party are oft subject to the silly stories I read about here. :-)

Anyway, I didn't mention the books I use, which may be seen as a vital omission by some! :D I've got a copy of the core rules by me at all times, other books sometimes beside me if I know I'm going to use them. (RIght now, Frostburn has just gone away, DMG II stays by me and Weapons of Legacy will probably be needed next session.)

The DM Cupboard I mentioned is a few meters behind my chair (it's marked out by a drawing of the Dungeon Master form the old D&D cartoon my previous flatmate did for me ;-) ) and that's where the rest of my books and magzines, for all RPGs, live otherwise. It's no big deal if someone suddenly wants to cast a spell from Libris Mortis or whatever, but as quite a few of my players have only really played in my campaign, there's only a couple who regularly consult non-core books so it's rarely a factor. :>

A tactic I'm going to have to brush up on for if I finally get a chance to run Paranoia... :p

But yeah, I still have both computer and paper stuff from a few previous campaigns, but considering I'm a mere 21 years old, it should go without saying they don't go back as far as yours do, Diaglo...

In my current GM Folder for my Eberron campaign I have:
A Rail Line Departure Schedule
A diagram of the characters Elemental Airship.
Angrimblahblah's Sheets Updated to 3.5
A sheet of little used rules to use as needed.
A sheet that I keep track of characters hp, ac, abilities, search, spot and wand charges.
 


I have a campaign notebook, but that's the only thing that sys constant. THere area few books I use more then others but I try not to assume I'm only using a few books or resources. So, I keep the books on the shelves and pull off what I nheed when I need it.
 

Notes for the given session.
A list of NPCs the group has encountered.
A sheet on which I track initiative, NPC hp, and PC wealth.
Stat blocks for a couple of NPCs/monsters who could show up at some point.

And that's it.
 

Well my DM folder is really both what's in my actual paper folder and on my laptop. In it are:
  • PC Info: Character sheets, notes, art etc.
  • NPC Info: Stats and notes of NPCs the players have encountered or are going to encounter.
  • Locations: Maps and note of the places the PCs have been.
  • Session Logs: I do a short summary of every session, note absent players, record XP & treasure awarded.
  • Treasure: Info on every magic item the PCs have/had in their possession.
  • Resources: Generic maps, encounters, and treasure hoards I can pull out as I need them. This is also where errata for products I use go.

Of course this excludes the books I'm using. Mostly Core Rulebooks with assorted supplements.
