I've stepped back from this for several days because some more information is needed before we can start talking about who can come. There are three specific things that need to be addressed:

Event Location - This is the most important open item at this time. We need to find a place that can accomidate about 30 to 40 people in the configuration of 5 tables that seat 6 each. Cheaper the better because we don't want someone get stuck with out-of-pocket expense if the event can't make at the last minute.

Date of Event - some like the 30th while others can't make it. At this juncture, it's more important to find a place that can hold an event on any Saturday between mid-June and mid-August.

Number of Participants - once the place is found and a list of possible dates are gathered, specifically who can come will fall into place. I think estimating 40 max is safe and actually pretty optimistic.

What could really help us out at this moment:
1). An ENWorld member who attends a local university finds out if space is available for such an event and possible dates we can hold such event.
2). Prices for renting space at the Boy's Ranch (FYI - it's the name of Bedford's Activity / Community Center and it's located on Harwood and Forest Ridge).
3). Me calling Buddy at Lone Star Arlington to get info on their room (I'll try to get this done in the next couple of days).

Make sure if you're going to do either items one or two, get an idea of the number of people the facility can accomidate and any costs involved. Tell them its for a Saturday event, and find out what the availability will be from mid-June to mid-August.

We'll prolly need 4 to 5 round tables that seat up to six. This could accomodate about 30 people max. Seeing this will likely be going from 10AM to 10PM, this looks to be a do-able number.

How's this for my poor attempt at coralling cats? ;)
 

1) Still trying to get free to check on locales- Mom has been sick. Hopefully, I'll be able to get some info this week.

2) I have tickets to see Camelot & Spamalot, on May 27 and June 24, so I can't make either of those dates. Perhaps someone should start a thread with a poll to test availability of dates?

I guess I missed the people who said they couldn't make it the 30th. Jeremy said it wasn't ideal for me, but he could make it (if it's better for him, another day that same weekend would work for me as well). The weekend of the 23rd is also Free RPG Day, so the weekend of the 30th would mean we could gawk at each other's collected free goodies.

Judging solely from the response in this thread, 40 is very optimistic indeed. If it were more like 10-15, would someone offer his house/garage? Or is that too optimistic the other way? ;)
(we've had 15 different people express interest, though that counts MarkCMG--I didn't know he was from these parts. Or is the offer more likely for mailing stuff down here?)

Southlake: Nothing found on web site

Grapevine:
Bessie Mitchell House (parking up to 35 vehicles) for 9 hours: $450
Merlot Community House (unknown size) for 9 hours: $225
Residency required for rental
Adding to this list:
Richardson Civic Center (max 30 people) for the full day (8a-12a): $250
But they're unavailable June 30. :(

A lot of places I'm seeing are much cheaper on weekdays.
 



Currently, the two highest dates have 7 votes each.

Should we be looking for places that hold 10-15?
