Several of the TGC folk are interested in expanding the Con to a bit beyond pure RP. Chances are very likely that we'll offer some of the longer games there for open play, like Axis & Allies.

There's also the chance that we may offer a Magic Tournament during the open gaming session. What do you guys think of the idea?

We've got 3 vendors so far who seem thrilled at the prospect of hosting a booth. Two seem to be CCG vendors, but for all I know, they could have other stuff too.

The Dugout Zone
Walt's Cards
M. Foner's Games Only Emporium

Shall we expand to vendors? I await your responses.

Personally, I'd prefer to keep it RPG. I'm interested in this as an EnWorld event, although I do appreciate UMD renting us the space and the help from the game club.

Sounds like we would need extra tables and more space. I'm all for upgrading the room size - as long as we can pay for it. Could (and should) we provide a separate space nearby, perhaps split from the main RPG room? Could the TGC look into this and work around those of us who have yet to set foot on the campus?

TGC already has 3 (or was it 4?) tables reserved. I'd rather not put them in a separate room because I'd like this Con to be as cohesive as possible. Right now the two rooms are pretty separated, but we're working on getting two rooms that are back-to-back. The problem is that one of the rooms isn't finished yet, so we'll have to wait until July to confirm it.

Thoughts on above posts...

Greetings Gang,

Here are my thoughts on the above issues/questions/ideas:

(1) Xath - If you can get enough sponsers to (a) Cover the additional $425 cost of the Grand Ballroom and (b) Cover the security costs for the event, then I say go for it...using the GB for the event will mean that everone has plenty of space for non-RPGs (Axis and Allies, CCGs, etc). Let's try to lock this up as quickly as possible. Please coordinate with DRM to get a quote on security costs/availability for our 9/25 date. Also, have you talked $s with the potential vendors? $150 per booth would take care of the Grand Ballroom deficit, then we just need to cover security...

(2) DRM (Kevin) - I have assumed that the TGC folks will be using 4 tables and the EN Worlders will be using 11. As far as adding additional games (CCG, Axis & Allies, etc), would these go against the 4 tables spoken for or would be need to use the "unofficial" overflow spaces (lounge, gallery) for these additional games? If we can swing the Grand Ballroom, this is a moot point, since there will be plenty of room for all.

I would actually suggest mixing the two groups up a bit...maybe the TGC uses two tables in each room we currently have reserved...instead of segregating by group. I am very thankful to the TGC assistance in getting this set up and "sponsoring" TerpCon...I don't think we would be able to do it otherwise.

Again, the Grand Ballroom fixes this problem. One suggestion might be that if the TGC is really interested in expanding this to offer lots of different gaming types, maybe they can kick in some $s to help secure the larger space. Between what we have committed to date ($200) plus what Xath can work out with the vendors.

(3) MX and Rodrigo - As currently set-up, we have 2 rooms reserved (this fits in our current budget, barely). They are on two different floors, but close enough to easily move between the room. In addition, there is plenty of comfortable space for pick-up games, over-flow, socializing, etc. DRM was kind enough to give me a tour earlier this week.

The NC Game Day IV took place in a mixed game environment and I don't think it reduced the fun everyone had, so I would prefer not to segregate, if at all possible.

That said, either the Grand Ballroom or one of the spaces under construction (estimated July finish time) which is adjacent to the larger of the 2 rooms (the Prince George's room) would be a much better bet. I would like to push for the Grand Ballroom, if we can make the finances work.

Along those lines, anyone willing to kick in $5, $10, or $50 ;) to help us secure the larger space...please let me know. I am in for $100 and we have one other donor who is putting in $100. If you can help, either e-mail me (to remain anon. or post it here.

Thanks!

How about TGC fronts $250? We just got preliminary confirmation from the SGA for emergency funds to be allocated in July.

The 4 tables we snagged would be used for TGC games like Axis & Allies; the other 11 are open for RP. Assuming we got the Ballroom Lounge that would be another 3 tables, for a total of 18.

Now, the vendor issue. I'm almost positive that they're going to want security there to guard the vendors. They may decide that the nature of the crowd, the fact that it's a closed event, and the preregistration requirements will be sufficient to not require security, but I doubt it. Police Auxiliary are $14 an hour, and one would be required for 16 hours. That translates into $224. A full blown officer would be $672, but I do not believe one will be needed.

I'm worried that things will get too big too fast. What I'll do tommorrow is talk with the OCR and Police people, and see what our options are on the following configurations:

A) Margaret Brent & PG Room
B) PG Room & Grand Ballroom Lounge
C) Grand Ballroom

Out of curiosity, is there a reason we can't have this on October 2nd instead? The Colony Ballroom would be perfect for our event, and it's available on that day. Plus at $375, we can afford it.

DRM,

Thanks for the update on the above issues. As far as 10/2/04 - I had originally thought the Terps had a home game that day, but re-reading their schedule shows that to be in error...

The Colony Ballroom would certainly give us plenty of room, for a more reasonable price and perhaps take care of security costs with currently donated monies, the TGC contribution and what we can get from vendors.

Let's post an update and see what happens.

Important - Please Post Response!

POSSIBLE DATE CHANGE TO 10/2/04 - PLEASE COMMENT

Greetings Gang,

In our quest for the perfect space without breaking the bank, we are considering the possibility of moving the MD-VA-DC Game Day back by one week to Saturday, 10/2/04. If so, can you make it?

This would allow us to rent the Colony Ballroom, which can house our entire event - EN Worlders + TGC + potential vendors in one comfortable space with plenty of elbow room. The cost is also significantly less than the Grand Ballroom ($375 vs. $625) so that we should be able to cover all the costs with EN World Donatives (now up to $250), TGC funds ($250) and vendor contributions ($s ?). This covers the space requirements plus should give us enough to cover security for vendors that will probably be needed.

Photos of the ballroom can be found here: Colony Ballroom

DRM, can you confirm number of tables we could comfortably fit into the CB? Thanks!

What say ye?
