DW, I noticed that you had Rick A. as a possible; I think you can go ahead and move him into the definite catagory, and he had mentioned vouching for some players as well.

I will try to get something on what I want to do, but seeing that there are ~4 of us looking to run 3.5 in the AM we should vary it unless there is more player interest in a certain catagory (epic, bring your own PCs should fetch plenty of players). I think I will talk to Torm on Sunday to see what each of us wants to try. Trollwizard, Doseyclwn, do either of you have a preference?

SUGGESTED GAME DAY DESCRIPTION FORMAT

Greetings Gang,

DMs may want to start posting "Teasers" for their games, so potential players can get a feel for what they are running and what is available when we move into player sign-up. Please try to use the following format:

DM: Old One

SLOT: Morning (or AM)

GAME: Grim Tales/3.5 Hybrid

TEASER: Mists swirl through time and space. A young Romano-British warlord and his stalwart band of retainers brave an ancient, haunted wood in search of a fabled talisman to help drive back the Saxon invaders. Will the Red Dragon of Britain triumph and hold back the darkness or will elder enchantments and the Wolves of Saxony spell his doom?

Come and see!


NUMBER OF PLAYERS: 5

NUMBER OF OPEN PLAYER SLOTS: 3

PC TYPES/LEVELS: Pre-generated levels 5-7

GAME RATINGS (SCALE OF 1 - 10):

Please note a couple of things on the above entry...

(1) Number of players is 5, but only 3 slots are open. If DMs know they are going to have current players or other friends want to sign up for their game, they should reserve slots appropriately.

(2) I am using "RoyalBlue" as my color, so those wanting to sign up for this game (once sign-ups are allowed) should use "RoyalBlue" as well.

A suggestion:

Could the DMs' possibly keep the number of friends in their games to as low a minimum as possible. This may seem like a bizarre request, but I know it would be annoying to me to see a game offered that looked fun and I wasn't able to sign up becasue 75% (or possibly more) of the slots were taken up by friends of the DM. Also, I'd feel a little uncomfortable if I was in a game of 5 people and I was the only new guy. This shouldn't be a "rule", maybe more of a guideline kind of thing; after all, some DMs' may feel more comfortable with a higher ratio of friends in their games.

Does this make sense? Am I making a big deal out of nothing?
 

Ok, here's the official word from the Prez of the Terrapin Gaming Club. We have officially rented the Prince George's Room of the Stamp Student Union for September 25, 2004. They say it can hold 9 tables, still leaving room to mingle, but some of these will be going to things other than RP, so we have to wait still for an official ENWorld table count.

Hi.

My name is Kevin Genson, and I am the President of the Terrapin Gaming Club. As Xath has confirmed, we have reserved the PG Room for a convention on Saturday, September 25th. The convention is currently called TERPCON simply because it's being hosted at UMD. We can change the name, but UMD prefers to have these things at least somewhat affiliated with the University. The current status is as follows:

We have a room reserved. Capacity looks to be at 9 round tables capable of seating 6 people each, plus a little bit of space to mingle in. So around 60 people that way. I'm under the distinct impression that word of mouth alone is going to make this convention somewhat more popular than that, so I'm going to see what I can do about getting a larger room. To do so requires money, which we somewhat lack at the moment.

The next two largest rooms are the Grand Ballroom and the Colony Ballroom. The Grand Ballroom is available on 9/25, and would cost us $625 to rent for the entire day. The Colony Ballroom is available on 10/2, and would cost $225 for the entire day. In addition, the Grand Ballroom lounge MAY be open in time for our event, and it is apparently somewhat larger than the PG Room. Price estimations for that arena hover around $150 or so. My current plan is to hold the PG Room, determine how many people we have coming, and either annex the lounge if it's available or rent a second room. To do so would require money. I would prefer donations, as pre-registration requires organisation and registration at the door requires security. I am also going to contact the SGA and see if we can get emergency funding, but no guarantees.

Our hours are tentatively set at 9-5, with the program running from 10-4. I suspect we'll want to expand those hours; 9-12 is the most we can do. The buildings hours are 8-1, and we'll need about an hour to setup and tear down.

I can't let this get too big, but as long as the resources and manpower are there I don't mind expanding things. I need someone within ENWorld I can maintain regular contact with so that we can coordinate things as needed.

That said, it looks like this thing is a go.

Well, if liason is what is needed, I'll volunteer. Donations are fine for now, and if that's what we intend to do to cover the room rental, I can set up a paypal account for such a purpose. I'd also volunteer to handle pre-registration, if some people out there would be so kind as to help me out. What I'd like to do for starters is to start a new thread, just for rolecall purposes.

Doing donations will be easiest, and if the SGA and that can't cover it, doing Pre-Registration will keep the costs down. (since we'd have to hire security to do at the door registration)

I have commitments from 2 sources for $100 each, so that covers $200 for a larger room, if needed. When does the money have to be in? I can probably cover most of the cost to hold the room, provided we get donation commitments to cover the $425 balance. Heck, 100 people kicking in $5 each takes care of it with room to spare.

Does the Grand Ballroom come with tables and chairs included in the price? I would rather go "bigger" to allow more room for manuever and so DMs aren't shouting over each other. More elbow room is better...

Also, expanded hours are going to be a "must"...I think 9-12 works great. We can run a 9am - 2pm slot, take a 1-hour break for lunch, then run a 3pm - 8pm slot. We could also offer a late night or open gaming if there is interest, but this way people could hang out and visit without worrying about having to run out right after finishing a game.

I would prefer to stick with the 9/25 date (since I will be on a business trip on 10/2). What do we need to do to move forward?

This is a good idea. Some of us may reserve a slot not for current players, but for EN Worlders we have been corresponding with for years, have never met and are dying to game with ;)!

EN World Game Days are all about meetin' new folks, trying out new systems, etc...
