Doh!

Sorry guys...I won't be able to make 10/2. Work cranks up for a major meeting that month and that means working weekends in October. :(

Colony Ballroom would hold 30 round tables maximum, and as of noon today is still available for October 2nd. The vendor booths would reduce that by a reasonable number (say 5 or so?), leaving us with plenty of space.

OK...

Including the postings here and the PM/e-mail I have gotten, things are running about 50% pro-date change/either one works fine and 50% con-date change (due to other commitments, etc). Some of those unsure if they can attend the 10/2 date account for $150 of the $250 donation pledges from EN Worlders, so...

If you haven't already chimed in on this or know someone who needs to chime in on this, please make haste.

Here is what I would like to do:

(1) Xath - See if you can get commitments from from vendors for a $ amount. For the 9/25 date (assuming 3 vendors) $150 per vendor takes us to ($250 from EN World, $250 from TGC, $450 from vendors) to a total of $950...enough to cover the Grand Ballroom ($625) + 1 security person ($250)with some room to spare. Assuming donors not able to attend on 10/2 won't be adding to the pot, that leaves us at ($100 from EN World, $250 from TGC, $450 from vendors) $800...enough to cover the Colony Ballroom ($375) and security ($250) with more room to spare. At the very least, the vendors should cover security ($85 each, assuming 3 vendors) plus kick in $50 for a booth IMO. Let's see if we can get an answer from them by Monday (6/21).

(2) DRM - I know you are working the security/how big can we get angle. Do you think you will have an answer on that by Monday COB?

(3) Let's give this until Monday evening to see what additional responses we can get and to firm up vendor contributions/etc. My preference would be to keep the 9/25 date (although I didn't realize that was Yom Kippur) and go for the Grand Ballroom, since that was the originally announced date.

If the funding doesn't come through due to vendors balking, etc...then we will probably need to slide to 10/2, even though that won't work for some. I realize that no solution will fit the schedule/needs of everyone, but a single space will work much better than 2 smaller spaces, IMO.

Additional thoughts, ideas, comments are always welcome!

We've got one more vendor, but, I've been doing some research.

We're doing a 1 day local area con. Normal vendor charges for such events are $20-50, and since it's the first year, we should really be charging on the lower end of that spectrum. Since we're only expecting at max 150 people, it's a bit unfeasable to ask that they pay any more than that as we would be countering alot of their profit margin for the day. Especially since the 4 vendors we have responding so far are going to be in competing retail lines, it would be unfeasable to charge more $50 in my opinion.

Have you had direct $ discussions with any of them? OK...let's assume $45 per vendor...that would add another $180 to the kitty, with 4 vendors.

This give us ($250+$250+$180) $680 for 9/25 (barring futher donations) and ($100+$250+$180) $530 for 10/2. That puts us ~ $195 short for 9/25 and ~ $95 short for 10/2, assuming no additional vendors and/or donations forthcoming.

If you haven't talked $ with them yet, try to negotiate from $60 per (or simply ask them how much they would be willing to pay), with a target of $50 for each vendor. Of course, if we can get a few more people to kick-in a few dollars (like 20 people @ $10 each or 40 people @ $5 each, we can probably cover the Grand Ballroom costs for 9/25).

Yes I can still make it. Better a little later than earlier due to school schedule :) I am still working on my adventure idea, will post the teaser when I have decided on the adventure
